Parish Administrator Responsibilities and Expectations

General Expectations
Demonstrates care, patience, friendliness and respect to all parishioners and visitors
Works 6 hours/weekday with a schedule coordinated with parish priest
Maintains confidentiality
Is flexible and able to reprioritize as daily issues & projects arise
Is able to take direction and constructive criticism
Compensation/Benefits
30 hours/week (part-time), $22-$27/hour (depending on experience, education, and software familiarity), paid time off, sick days, no after-hours work.
Overview of Responsibilities
Administrative
Works as first point of contact for all visitors to the church office
Handles all phone, email and mailing inquiries and correspondence
Supports the parish priest and leads administrative responsibilities of St. Andrew
Is the primary coordination person for parish sacraments
Maintains the printed and digital church calendars
Updates accurate parishioner and financial records and maintains organized filing system
Organizes files of all parish meeting minutes and assists Parish Council as needed
Supports Parish Assembly preparation and meeting execution
Files yearly paperwork with Metropolis and State's offices as required
Performs duties in maintaining the church campus including scheduling inspections, appointments, and building maintenance
Communication
Coordinates parish-wide communications and ensures timely delivery
Prepares weekly parish bulletin (digital and print)
Assists with creation of posts to website
Knowledge of or willingness to learn QuickBooks, Elvanto, MailChimp, SquareSpace, and Google Suite
Financial
Pays bills and writes checks ensuring proper process and timely remittance within Quickbooks
Makes bank deposits as needed, reconciles and monitors bank accounts, following procedure with Parish Council
Track financial donations and produces giving statements
Organizes monthly financial information for accounting services
Ensures bank signature cards are updated at the yearly transition of Parish Council officers
Facilities
Opens and closes church on weekdays, ensuring facilities are in good order, safe for parishioners and visitors, and secured at the end of the day
Assists with scheduling facilities/maintenance appointments
First point of contact for maintenance issues and communicate with the appropriate person on the Parish Council
Miscellaneous
Ensures Church & Office supplies are maintained. Orders/purchases when needed.
Yearly communication - Calendars, Liturgical Guidebook, Stewardship Cards, Pledge Books, Pascha supplies, Christmas Cards, Festival supplies, etc.
Coordinates with cleaning company to ensure church is properly cleaned
Work with the Parish Priest on developing long term projects to benefit parish
Software: Google Workspace, QuickBooks, MailChimp, Microsoft Word, Excel, SquareSpace, Elvanto Church Management
The Parish Administrator is NOT responsible for the following
Answering phone calls, text messages, or emails after working hours
Making financial decisions without Parish Council approval
Annual Assessment
The parish priest and Parish Council officers will lead an assessment each year in the Fall and will receive feedback from the Parish Administrator on job experience and satisfaction
Physical Demands
While performing this job, the employee is required to sit, stand and walk; use hands and fingers to operate the keyboard and other office equipment; reach with hands and arms; and talk or hear. The employee is occasionally required to stoop or kneel. The employee is often tasked with lifting and/or moving up to 20 pounds.
